Section 1: Understand What You Should Have
Three things that should exist and be connected:
| ASSET | WHY IT MATTERS |
|---|---|
| Meta Business Suite | The central hub that owns and manages all your Meta business assets. Your protection if something goes wrong. |
| Facebook Page | Should live inside Business Suite, not just be attached to someone’s personal profile |
| Instagram Professional Account | Should be connected to your Facebook Page through Business Suite |
Section 2: Know Who Has Access
You don’t need to understand every access level Meta offers. You do need to know:
- Who is the admin? Is it a current employee using a permanent business email, or someone who no longer works there?
- Is there a backup? At least two current team members should have admin-level access. One departure shouldn’t create a crisis.
- Is your agency set up correctly? If you work with a marketing partner, they should be connected as a Partner through Business Suite, not holding your actual login credentials or connected directly to the page via their personal account.
Section 3: Your Quick Audit Checklist
Account Ownership
__ I know what email address is tied to our Meta Business Suite
__ That email is a permanent business address, Â not a personal or former employee’s email
__ I can log into Meta Business Suite right now
Access
__ At least two current employees have admin-level access to our accounts
__ No former employees retain any level of access
__ Our marketing agency is connected as a Partner, we have not shared our main login directly
Security
__Two-factor authentication is enabled
__ A recovery method or backup codes are stored somewhere the business can find them
Section 4: Red Flags That Need Attention Now
- Your page was created by someone who no longer works there and you’ve never updated access
- You share one login among multiple people
- Your Instagram and Facebook aren’t connected and you’re not sure how to link them
- Your agency has your actual username and password instead of Partner access
- You’re not sure if you have a Business Suite at all
- The only person who knows how to access is “probably Mike from IT”
Section 5: What To Do Next
- If your checklist comes back clean: Great! Set a reminder to review access any time someone joins or leaves your team.
- If you spotted some red flags: Start with Meta’s official Business Suite setup guide, it walks you through the process step by step. Set Up Meta Business Suite
- If you’ve already lost access: Meta’s account recovery process is the only path forward and requires proof of business ownership. An agency cannot recover access on your behalf. Start here.
